The Health Information Management (HIM) Specialist is responsible for processing internal and external requests for medical records in compliance with HIPAA regulations, ensuring accuracy and completeness in all documentation. This role involves logging and tracking work in a database system, proactively addressing any issues with the management team, and providing exceptional customer service to requesters. The HIM Specialist collaborates with third-party vendors and healthcare providers to retrieve and verify documentation, ensuring full medical record availability. They independently organize and prioritize tasks to meet deadlines and compliance standards.
Additionally, the HIM Specialist plays a critical role in improving workflows and department processes by participating in team meetings and process improvement initiatives. They must maintain up-to-date knowledge of all HIPAA, confidentiality, and compliance regulations while also offering suggestions for operational enhancements to supervisors. Complete and accurate documentation and logs are essential responsibilities of this position.
PRIMARY RESPONSIBILITIES
Release of Information
- Process internal and external requests for medical records, ensuring accuracy and completeness.
- Utilize proprietary systems to locate identifiers, process documents, and manage medical coding and billing.
- Arrange and deliver medical records to requesters in a timely manner.
- Review documentation in proprietary platforms, ensuring adherence to coding standards and HIPAA regulations.
- Log and track work in a database system, communicating any issues to the management team.
- Collaborate with providers and third-party vendors to retrieve complete and accurate medical documentation.
- Organize and prioritize work independently to ensure the full availability of medical records to customers.
- Monitor daily work assignments, adjust priorities as necessary, and ensure tasks are completed on time.
Customer Service
- Provide assistance to requesters by guiding them through the medical records process.
- Offer exceptional customer service by assisting with the status of medical record requests.
- Resolve customer inquiries and escalate concerns where necessary, while maintaining professionalism and accuracy.
Program Support
- Develop and improve workflows to optimize the program.
- Conduct quality reviews and audits of medical records, with a focus on coding accuracy, compliance, and regulatory standards.
- Identify and report trends, potential issues, and findings to the management team.
- Participate in process improvement initiatives, team meetings, and department projects.
- Ensure logs and departmental documentation are fully completed and up to date.
- Provide recommendations for improvements to management and leadership teams.
Compliance
- Maintain an in-depth knowledge of HIPAA, confidentiality, and compliance regulations.
- Adhere to all guidelines, policies, and procedures regarding the protection of patient health information.
Performs other related duties as assigned.
QUALIFICATIONS
- General Equivalency Diploma (GED) or High School Diploma required.
- Associate or advanced degree in appropriate field preferred.
- Minimum of two years working in Healthcare, Insurance, or Administrative Support preferred.
- Experience in a clinical or Health Information Management Department of a large health care facility.
- Experience in working with valid authorization forms with patients, legal authorized representatives, attorneys, and court systems.
- Paralegal skills preferred.
- Knowledge of and experience with conflict resolution techniques and problem analysis/resolution skills preferred.
- Registered Health Information Technician (RHIT) and/or Registered Health Information Administrator (RHIA) preferred.
