Position Overview
We are seeking an exceptional Executive Assistant to provide high-level administrative support to the CEO of Backpack Healthcare. This role demands a highly organized, detail-oriented, and resourceful individual who can thrive in a fast-paced environment while supporting a results-driven leader. Key Responsibilities
- Scheduling & Calendar Management:
- Juggle a high-volume, ever-changing calendar while aligning appointments with organizational priorities.
- Anticipate scheduling conflicts and resolve them with finesse and minimal guidance.
- Communication Management:
- Draft, review, and send polished communications on behalf of the CEO with impeccable accuracy and speed.
- Prioritize and manage emails, ensuring critical matters are addressed immediately.
- Act as the gatekeeper and liaison between the CEO and internal/external stakeholders.
- Meeting Preparation & Coordination:
- Organize and prepare for meetings by gathering documents, creating agendas, and attending to every logistical detail.
- Attend key meetings, take precise minutes, and follow up to ensure action items are completed without reminders.
- Travel Coordination:
- Plan and manage extensive travel itineraries, including last-minute changes.
- Resolve travel disruptions seamlessly
- Problem-Solving & Crisis Management:
- Proactively identify issues, present solutions, and take ownership of their resolution.
- Handle unexpected challenges calmly and confidently, ensuring minimal disruption to the CEO’s focus.
- Information Relay:
- Respond to calls, prioritize urgent matters, and communicate succinctly with the CEO.
- Confidentiality & Professionalism:
- Handle sensitive information with the utmost discretion and integrity.
- Anticipation of Needs:
- Stay two steps ahead of the CEO, predicting requirements and addressing them proactively.
Qualifications
- Experience:
- A minimum of 3-5 years of experience as an Executive Assistant, preferably to a C-level executive.
- Proven success in navigating high-pressure, high-stakes environments.
- Skills:
- Unmatched organizational and multitasking skills.
- Exceptional written and verbal communication.
- Mastery of MS Office Suite, Google Workspace, and other relevant tools.
