About the Role
The Workplace Coordinator plays a crucial role in ensuring a positive work environment by managing facilities, logistics, employee support, and fostering a vibrant company culture. This includes coordinating company-sponsored events, managing hotel partnerships, organizing weekly company lunches, and maintaining a strong and positive in-office presence. This role will ultimately be the face of Charlie Health’s Nashville office and first point of contact for all guests and in-office employees. The Workplace Coordinator will also assist the Clinical Licensing team with administrative functions (and any other administrative duties within scope), including but not limited to printing and processing mail, handling sensitive employee information, and data entry.

Responsibilities
- Oversee Charlie Health facilities by supervising office maintenance, stocking supplies and equipment, and enforcing a high standard of cleanliness and organization
- Coordinate logistics for all on-site guests, including but not limited to: building access, mail and packages, and employee onboarding/moves
- Support employee engagement and be a culture ambassador; serve a positive and welcoming presence as the first point of contact for all employees and visitors
- Organize and execute company-sponsored events, including planning happy hours and weekly company lunches
- Manage relationships with corporate hotel partners; negotiate agreements and ensure smooth arrangements for employee travel and accommodations
- Maintain a part-time presence in the office (Monday-Thursday, 9:00 a.m.-2:00 p.m.), making yourself available for immediate assistance and fostering a sense of community among employees
- Process mail, checks, faxes, and sensitive personnel-related information on behalf of HR, Compliance, and other teams as needed
Requirements
- High school diploma or equivalent (bachelor's degree preferred)
- 2+ year of professional experience in an office management role
- Ability to foster a positive culture and engage employees
- Strong organizational and multitasking skills
- Proficiency in G-Suite and event planning software
- Excellent communication and problem-solving abilities
- Knowledge of health and safety regulations
- Capable of wearing many hats and adapting to the evolving needs of a fast-paced start-up
