The Role
We’re seeking a proactive, highly organized, and tech-savvy Executive Assistant to support our CEO. This hybrid role is ideal for someone who thrives in a fast-paced, high-growth startup environment and can anticipate needs before they arise. You’ll be a trusted partner, ensuring the CEO's time is optimized, operations run smoothly, and strategic initiatives are executed effectively.
What You’ll Do
- Strategic Support: Provide high-level support in business strategy, decision-making, and execution of key initiatives.
- Forward-Looking Operations: Anticipate the needs of the CEO and proactively address business and administrative tasks.
- Calendar & Scheduling: Manage the CEO’s schedule, coordinate meetings, and handle logistics efficiently.
- Inbox Management: Customer service inbox management.
- Billing & A/R: Support the CEO and Head of Event Operations with invoicing and accounts receivable tasks.
- Travel Coordination: Plan and book travel, accommodations, and itineraries.
- Meeting Preparation & Follow-Up: Prepare materials, take notes, and track action items to ensure timely execution.
- Stakeholder Communication: Act as a key liaison between the CEO and executives, partners, and other stakeholders.
- Project Management: Assist with research, presentations, process improvement, and execution of high-priority projects.
- Operations & Administrative Support: Oversee expense reports, vendor coordination, and other administrative functions.
- Event & Conference Coordination: Assist in organizing and executing company events, speaking engagements, and networking opportunities for the CEO.
Qualifications
- Bachelor’s degree required.
- 3+ years of experience in an Executive Assistant, community management, project management or strategic operations role.
- Assertive & Proactive: Confident in making recommendations, taking initiative, and setting strong boundaries.
- Excellent Communication: Strong written and verbal communication skills with the ability to draft professional correspondence and content.
- Project Management Expertise: Ability to juggle multiple tasks, meet deadlines, and drive efficiency.
- Tech-Savvy: Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, Zoom, and project management tools.
- High-Level Professionalism & Discretion: Comfortable interacting with senior executives and handling confidential information.
- Adaptable & Growth-Oriented: Comfortable in a dynamic startup environment and eager to evolve with the role.
